AI Phone Ordering for Restaurants: How It Works
What is AI phone ordering for restaurants?
AI phone ordering means software answers your restaurant's phone, takes the order by voice and sends it to the kitchen or POS. Nobody on your team has to pick up.
The customer rings the same number they always ring. An AI voice answers, takes the order, answers questions about the menu and confirms a collection or delivery time. The order then shows up in the kitchen like any web or app order.
Why restaurants miss phone orders
The phone rings hardest when the kitchen is busiest. That's the whole problem.
Take a restaurant doing 80 covers on a Friday night. Everyone on shift is cooking, plating, serving or bagging delivery orders, and the phone keeps going. Some calls don't get answered, and some of those customers ring the place down the road instead.
Takeaways and delivery-led restaurants feel this most, because more of their orders come in by phone. For them a missed call is usually a lost order.
How AI phone ordering works
Calls to your restaurant get routed to the AI system. You can keep your existing number, so nothing changes for the customer.
The AI answers and the customer just talks: "I'd like a large margherita, a garlic bread and a Diet Coke for collection in 20 minutes." The system picks out each item, reads them back, deals with changes like "can I have extra cheese?" and answers questions about the menu.
Once the customer confirms, the order goes straight into your POS system and onto the kitchen display with everything else. Nobody types it in again, and there's no sticky note to lose behind the fryer.
Payment depends on the system. Some take a card over the phone, some text the customer a payment link, and some leave it to be paid on collection.
When a caller wants something the AI can't deal with - a complicated dietary question, a complaint, a booking - it can put the call through to a member of staff or take a number for a callback.
What AI phone ordering can and can't do
| Task | AI phone ordering |
|---|---|
| Take standard food and drink orders | Yes |
| Handle item modifications | Yes |
| Answer allergen questions | Yes, once it's trained on your menu |
| Take card payments by phone | On some platforms |
| Suggest add-ons and upsell | On the more advanced platforms |
| Handle complaints | No - hand these to a person |
| Take table bookings | Limited |
What you get from it
Every call gets answered. That's the main one. No more Friday night orders lost because the phone rang for 90 seconds and nobody could get to it.
Staff stay on the floor. Answering the phone in a rush pulls someone away from the customers already sitting in front of them.
You also spend fewer hours on the phone. In a takeaway where phone orders are a big chunk of the total, that's real staff time back.
The AI suggests drinks, sides and desserts on every single call. Staff forget when it's busy. The AI doesn't get busy.
And it answers at midnight, on bank holidays and on the night two people ring in sick.
How much does AI phone ordering cost?
It depends on the provider and how many calls you get. Most charge a monthly subscription, a fee per call or a percentage of the orders taken. Some bundle it into a wider restaurant tech package.
To see if it's worth it, put that price next to two numbers: the orders you lose to missed calls, and the staff time spent answering the phone. At two or three minutes a call, 200 phone orders a week is somewhere between 7 and 10 hours of someone's time, most of it at peak.
Flipdish AI Phone Agent
Flipdish built its AI Phone Agent for restaurants. It connects directly to the Flipdish POS and online ordering platform, so phone orders land in the same kitchen queue as web and app orders.
The phone agent reads your menu from Flipdish, including prices, item descriptions and what's currently available, so there's no separate menu to set up. Change something in Flipdish and the phone agent picks it up automatically.
It's aimed at restaurants, takeaways, cafés and multi-site groups in the UK and Ireland that want to take more phone orders without hiring more people.

Is AI phone ordering right for your restaurant?
It makes most sense if you take a decent number of phone orders every week and you know you miss calls at peak. It also helps if staff keep getting stuck on the phone when they should be on the floor, or if you want to take orders later than you're staffed for.
If phone orders are rare, as in fine dining or a small café, there's less in it for you. For takeaways and casual dining it's a much easier call.
